aCRM · a system for your firm

Enquiries, work and money in one panel

aCRM is a panel holding sales, the calendar, projects, stock, finances with tax and profitability, and staff with permissions. The form and project photos on your site feed into it on their own, no copy-pasting. We switch on only the modules you use.

The work gets done, nobody just knows where anything is

The more clients you have, the more is held together by memory. And memory doesn't remind you to call back, doesn't watch payment deadlines and doesn't work out which service actually makes money.

  • The enquiry came by email, the details went by text, and the date stayed in your head.

  • A client calls mid-job: either you stop working or you lose the enquiry.

  • Nobody knows who owes money, or for how long.

  • One app for bookings, a spreadsheet for settlements, a separate inbox, and none of them talk to each other.

  • At year end it's unclear which service pays off and which only eats time.

More than twenty modules, switched on one by one

The system is made of blocks turned on with a flag for a specific firm. You don't pay for screens you never open, and you don't scroll a menu full of things that don't apply to your trade.

Sales and clients

The core: one place where an enquiry turns into a client.

  • Leads from every channel
  • A client record instead of a folder
  • A pipeline shaped around you
  • Sources and attribution

The work itself

Everything between “the client said yes” and “it's done”.

  • Projects with a plan and a Gantt
  • Tasks and follow-ups
  • Calendar and appointments
  • Company notepad
  • Stock without the paperwork(Switched on request)

Money and analysis

Numbers computed from data you enter anyway. Nothing is typed in twice.

  • Engagements and settlements
  • Company finances with tax
  • Business analysis
  • Owner's dashboard

Company and people

Everything that lets you bring a team into the system, not just yourself.

  • Staff and permissions
  • Services, prices and working hours
  • Online booking 24/7(Switched on request)

Your site, steered from the panel

This part exists because the same person builds the site and the system. Otherwise it couldn't be wired together.

  • Project photos published from the panel
  • Prices, services and opening hours
  • Publishing to Facebook

Integrations

Data lands where it belongs, without copying from window to window.

  • Form and bookings from the site
  • Google Drive
  • Company email
  • Meta Lead Ads
  • Google or Microsoft sign-in

Always included

Things that aren't sold separately, because without them the system has no business existing.

  • Audit log
  • Backups and the EU region
  • Export and deletion

In development

Announced but not working yet. It's written here so nobody buys it as finished.

  • AI assistant(In development)
  • Google Calendar and Meta messages(In development)
  • Extended analytics(In development)

You don't get a login and an empty screen

I do the rollout: creating the account and configuring stages, importing your clients, training the team. The system is half the work. The other half is setting it up so the numbers mean something.

  1. 1

Conversation and a map of the work

I show the panel live and ask how a job travels from enquiry to payment today. That produces the list of modules that make sense, and the ones that would only clutter the menu.

  2. 2

    Account and modules

I create your account, switch on the chosen modules and turn the rest off. Sign-in with Google or Microsoft, no new password to remember.

  3. 3

    Configuration for your firm

Sales and production stages, categories and services with prices, VAT and duration, working hours, lead sources and tax settings. This is the part that decides whether the numbers in Finances will mean anything.

  4. 4

    Data and connections

Importing your client list from a spreadsheet or your current tool, wiring up the website form, Meta ads, Drive and email. You start with a database, not an empty screen.

  5. 5

    People and permissions

Staff accounts, roles and individual permissions: who sees other people's leads, who sees amounts, who manages other people's calendars. Set once, calmly, before go-live.

  6. 6

    Training and support

I walk the team through their daily path: not the whole panel, just the five screens they'll actually use. Then I stay reachable and add modules as the firm grows.

You sign in with Google or Microsoft, no separate password. The panel lives at acrm.arcasto.com, but you don't have to remember it: the button next to this goes straight there.

Common questions about aCRM

Before you move your firm into a new system.

aCRM runs in production and I run my own business on it every day: my leads, projects, engagements and finances. Every module goes through my own work first and only then reaches clients. I don't sell what I don't use. Whatever doesn't exist yet is listed plainly on the modules page as “in development”.

No. Modules are switched on individually and you only pay for the ones enabled. Most firms start with leads, the calendar and tasks, then add finances or stock a few months later once it's clear they're needed. Turning on another module needs no migration and no downtime.

On booking platforms the customer belongs to the platform: they see your competitors there too, and you pay a subscription or commission for access to your own clients. A spreadsheet, on the other hand, reminds you of nothing and calculates no profitability. aCRM is wired into your site and your brand, and the data is yours.

Two items: a one-off rollout fee (configuration, data import, training) and a fixed monthly subscription for the system, hosting, updates and support. The subscription depends on the modules enabled and the number of users. I give a concrete figure at the demo, once I've seen how you work.

Data is stored in the EU region with a daily backup. Every account has an isolated space, every change goes into an audit log, and integration tokens are stored encrypted only. Export or deletion is available on request. GDPR requires it and it's built in from the start.

No. aCRM works on its own and can be connected to a site you already have. If we build the site together with the system, you also get the part that isn't otherwise possible: prices, opening hours and project photos steered by you from the panel, with the form and bookings wired in from day one.

You get an export of your data and you can go. We don't hold your client base hostage. When a subscription lapses the account switches to read-only, so nothing disappears before you've collected your data.
