How you move into the system, step by step
From the first conversation to the day the team works in the panel. Below: what I do, what you prepare, how long it takes and what paperwork we sign.

Conversation and a map of the work
I show the panel live and ask how a job travels from enquiry to payment today. That produces the list of modules that make sense — and the ones that would only clutter the menu.

Account and modules
I create your account, switch on the chosen modules and turn the rest off. Sign-in with Google or Microsoft, no new password to remember.

Configuration for your firm
Sales and production stages, categories and services with prices, VAT and duration, working hours, lead sources and tax settings. This is the part that decides whether the numbers in Finances will mean anything.

Data and connections
Importing your client list from a spreadsheet or your current tool, wiring up the website form, Meta ads, Drive and email. You start with a database, not an empty screen.

People and permissions
Staff accounts, roles and individual permissions: who sees other people's leads, who sees amounts, who manages other people's calendars. Set once, calmly, before go-live.

Training and support
I walk the team through their daily path — not the whole panel, just the five screens they'll actually use. Then I stay reachable and add modules as the firm grows.
What you prepare on your side
Four things. None of them has to be perfect — we sharpen the rest during configuration.
- A list of services with prices and rough durations.
- Company working hours, and individual ones where they differ.
- Your client base in any shape: a spreadsheet, an export from your current tool, even a list from your phone.
- Company details and your tax setup, if tax and profitability should be counted from day one.
You have the account the same day. Full configuration with import and training usually takes a few days to two weeks — depending on how many modules are on and what state the data is in.
I do. Configuration, data import and team training are part of the rollout, not a separately billed extra discovered after signing.
A one-off rollout fee plus a fixed monthly subscription for the system, hosting, updates and support. The subscription depends on the modules enabled and the number of users.
In the European Union region, with a daily backup, an audit log and an isolated space for every account.
A data export on request, no negotiation. When a subscription lapses the account switches to read-only — nothing disappears before you've collected your own.
Paperwork we don't skip
Your clients' data will sit in this system, so the paperwork happens at the start, not after the first audit.
- A data processing agreement (GDPR art. 28): you are the data controller, I am the processor.
- Data in the EU region, encrypted, with a daily backup and an audit log.
- Export and deletion of a specific person's data on request — handling rights under art. 15 and 17.
- Tokens for Google, Microsoft and Meta stored only in encrypted form.
